This guide walks you through the Supervisor Settings for Prepared, helping you efficiently manage nature codes, canned messages, and PSAP connections for enhanced incident tracking and response.


Managing Nature Codes

Nature codes categorize incidents based on the type of event, which streamlines workflows and ensures accurate reporting. Here’s how to manage them:

Best Practices for Nature Codes:

  • Limit the number of nature codes to prevent dispatchers from scrolling through a long list.

  • Match nature codes with those used in your agency's CAD system for consistency and continuity.

Steps to Add, Edit, or Delete Nature Codes:

  1. Add a Nature Code

    • Click on the orange “Add Nature Code” button at the top right of your screen.

    • Enter a name for the code, such as “Test.”

    • Click Add Code to save it.

  2. Edit a Nature Code

    • If you want to edit an existing code, click Edit next to the code.

    • Make your changes (e.g., capitalize "Test").

    • Click Save Changes.

  3. Delete a Nature Code

    • If a nature code is no longer needed, click Delete.

    • Confirm that you want to delete it.

  4. Bulk Remove Nature Codes

    • Select multiple codes, and click Remove Selected to delete them in bulk.


Managing Canned Messages

Canned messages are pre-written messages that can save dispatchers time. These can be used for common, repetitive situations such as 911 hang-ups or non-emergency calls.

Types of Canned Messages:

  • Default messages: Automatically sent by the system during certain events like a live stream start or incident resolution.

  • Custom canned messages: Created for dispatchers to send at any time during an incident, such as pre-dispatch, post-dispatch, or post-arrival.

Steps to Manage Canned Messages:

  1. Edit Default Messages

    • Default messages are pre-configured, but you can edit them if necessary (e.g., changing the 911 number to a local center’s contact number).

    • Click on the message to edit it, and then click Save Changes.

  2. Add New Canned Messages

    • Click the orange “Add Canned Message” button.

    • Name the message (e.g., “Off-duty responder alert”).

    • Enter the message text and select a nature code (optional).

    • Click Add Message to save it.

  3. Customize Canned Message Content

    • You can insert links or other useful information into canned messages (e.g., redirect to a website or provide a jail visitation schedule).

    • You can also automatically collect GPS location or send a prepared link to the recipient.


Managing PSAP Connections

PSAP Connections allow for incident transfers to other agencies, ensuring that relevant data is shared in real-time.

Best Practices for PSAP Connections:

  • Add local agencies: For efficient collaboration, make sure you have connections to all agencies in your jurisdiction and neighboring areas.

  • Share incident data: Including live streams, photos, and other relevant information when transferring calls can enhance the response efforts.

Steps to Manage PSAP Connections:

  1. Request a Connection

    • Click on the PSAP Connections tab and then Add New PSAP Connection.

    • Enter the agency name, contact details, and jurisdiction information.

    • Click Save to create the connection.

  2. Transfer Incidents to Another PSAP

    • If you need to transfer an incident to another PSAP, ensure that they have a connection in your system.

    • Use the Transfer button in the incident details to send it over, along with all related data.
