Overview
The Prepared Translator tool enables 911 centers to communicate with non-English speaking callers by offering instant translation. As a supervisor or administrator, you can manually dial the translator or set up auto-dial functionality for convenience. The tool provides real-time translation of caller communication, allowing dispatchers to understand and respond accurately.
Step-by-Step: Using the Prepared Translator Tool
Step 1: Accessing the Prepared Translator Dial-in Number
Navigate to Settings: In the Prepared platform, go to Settings.
Scroll to Agency Tab: Find the Agency section.
Locate the Translator dial-in number: You will see the Prepared Translator phone number listed here.
This information can be used to manually dial the translator or set up auto-dial (based on your preference).
Important: Only users with supervisor or administrator access can view these settings. If you need non-supervisors to use this tool, you will have to share the dial-in number with them.
Step 2: Initiating the Translator During a Call
Receive the Call: When a call comes in and you determine the caller requires translation (e.g., Spanish), proceed to dial the Prepared Translator.
Dialing the Translator: Use the phone number from the settings, or if auto-dial is set up, simply use the auto-dial feature.
Note: The translator bot will announce itself in Spanish, indicating to the caller that translation is available and they should wait for the translation to occur.
Step 3: Using the Prepared Translator During the Call
Click the Prepared Translator Button: Once the translator bot is connected, click the Prepared Translator button in the system.
Viewing Translated Text: On the left-hand side of your screen, you will see real-time translations of what the caller is saying.
Communicating Back to the Caller: You have two options for responding:
Quick Action Buttons: Use pre-configured quick actions for common phrases such as "better locate address" or "please stay on the line."
Typing Manually: You can also type a response manually in the text box provided.
Quick Actions: A few quick action buttons are available, and they are set up in advance by Prepared. You can use these to streamline communication with the caller.
