Outcome
After reading this guide, you will be able to create, update, and manage users, assign roles, and ensure each user has the correct access to features within the Prepared platform.
Overview
Use the Users page to manage all user accounts in your agency.
You can:
Add users individually or in bulk
Assign roles that control access and permissions
Enable or disable specific features
Maintain accurate user records for operations and audits

Assistive Dispatch Access Update
Assistive Dispatch access is now controlled through roles, not individual user settings.
Access is automatically included in certain roles
You do not need to enable it manually per user
Users in the following roles have access by default:
Dispatcher
Floor Lead
Supervisor
Administrator
RTCC Operator
Radio User
Note: If a user needs Assistive Dispatch access, assign them to a role that includes it.

Filter Users by Role
Use role tabs to quickly view users by function:
Administrator
Supervisor
Dispatcher
Calltaker
Download Users
Export your user list for:
Audits
Data cleanup
Reporting
Add Users
You can add users in two ways:
Option 1: Add a Single User
Go to Settings → Users
Select Add User
Enter user details
Assign a role
Save
Option 2: Add Multiple Users (CSV Upload)
Step 1: Download Template
Select Download Template
Step 2: Complete the File
Add one user per row
Complete all required fields:
Name
Email
Role
Authentication
Step 3: Upload the File
Save as .csv
Upload the file
Review validation messages
Confirm upload
After upload, users receive an email with login instructions.
User Table Overview
Each column shows user details or feature access.
Field | Description |

Understand Roles vs Feature Toggles
Roles control what users can access and do (permissions)
Toggles control whether certain features are enabled
Example:
A role may allow access to Assistive Dispatch
A toggle enables access to Call Audio
Edit User Information
You can update:
Name
Email
Phone Number
Role
Teams
Role
Controls access to features and permissions
Changes take effect immediately
Important: Assistive Dispatch access is managed through roles, not user settings.
User Actions
Edit
Update user details, role, or team assignment
Suspend
Temporarily disable access without deleting the account
Use when:
A user is on leave
Access needs to be removed temporarily
Remove
Permanently delete a user
Use for:
Duplicate accounts
Test users
Warning: Removing active users may impact audit history.
CSV Upload Guidelines
To avoid errors:
Do not rename or remove columns
Do not change column order
Do not add new columns
Use plain text only
Use unique email addresses
Save as .csv
For feature columns:
Use ON or OFF
Best Practices
Assign users the minimum access needed
Use roles to manage permissions consistently
Review user roles regularly
Confirm feature access after onboarding
